Position Overview
Adams & Martin Group has partnered with a prestigious legal firm to find an experienced Remote Word Processor. This fully remote role is open to candidates located anywhere in California, allowing professionals the flexibility to support both transactional and litigation teams from the comfort of their homes. The position focuses on preparing, editing, and formatting a diverse range of legal and business documents in a dynamic and collaborative legal environment.
Responsibilities
- Prepare, revise, and format complex legal documents, including transactional (e.g., purchase, leasing, and corporate documents) and litigation materials (e.g., pleadings, court filings, and forms).
- Ensure all documents adhere to internal formatting standards and style guidelines.
- Perform advanced document formatting, styling, and cleanup in Microsoft Word.
- Convert PDFs into editable formats and ensure accuracy of converted content.
- Execute complex revisions based on markups, tracked changes, and detailed attorney instructions under tight deadlines.
- Create and maintain Tables of Contents and Tables of Authorities for litigation documents.
- Develop and edit PowerPoint presentations as needed.
- Create, format, and edit spreadsheets.
- Manage and organize electronic documents within a document management system.
- Transcribe digital dictation with a high degree of accuracy.
- Troubleshoot and resolve document formatting and technical issues for end users.
- Manage workflow through shared inboxes and centralized work queues.
- Coordinate document execution processes, including electronic signatures (e.g., DocuSign).
- Edit and prepare exhibit images using basic image editing tools.
- Handle multiple assignments simultaneously while prioritizing urgent deadlines.
Qualifications & Experience
- High school diploma or equivalent required; college degree preferred.
- 3-5 years of law firm or legal document processing experience required.
Skills & Competencies
- Ability to manage shifting priorities and meet tight deadlines in a fast-paced environment.
- Strong attention to detail with exceptional proofreading, grammar, and formatting skills.
- Advanced proficiency in Microsoft Word and the Microsoft Office Suite.
- Experience with Adobe Acrobat and document conversion tools.
- Familiarity with document management systems (e.g., NetDocuments or similar).
- Ability to work independently while maintaining strong collaboration with a remote team.
- High level of discretion when handling confidential information.
- Strong communication and customer service skills.
- Minimum typing speed of 70+ words per minute.
Preferred Qualifications
- Experience with tools such as DocuSign, Litera (e.g., Best Authority), or similar legal software.
- Familiarity with Visio, basic image editing tools, or contract/document platforms (e.g., AIA or AIR CRE).
Required Work Hours
Monday through Friday, standard business hours.
